How to add multiple Boards to a Project?

Multiple Boards are added to Projects in the “Import boards” section in the bottom left.

 

 

Now, to add multiple boards we first need to download and fill the available template.

 

 

Once we’ve downloaded it, we can fill in the needed information for future boards. It’s important not to edit the predefined fields on the top. For example: Even if there isn’t a Board Manager already predefined for the role, the “BoardManagerEmail” row still needs to be there when the .csv file is uploaded.

 

 

It’s also important to keep in line with the field requirements so all information is uploaded correctly. Dates need to be input in the YYYY-MM-DD formta, while email adresses need to be added with the predefined company suffix. In our example here the suffix is: @example.teodesk.com.

Along with the information from the .csv file, we can also decide on the template that will be used in creating new boards.

 

 

By choosing a template and importing boards in this way, we can create multiple boards with their complete structure set up much more quickly and efficiently.

How to edit values in Resource Management tables?

In Resource Management tables, values are edited on Board level by clicking on the “Planned”, “Ordered”, “Actual” and “Accepted” cells and inputting desired amounts.

 

 

Once we add the quantity for “Planned”, the price is automatically calculated. If we then add the following value for “Ordered”, we can also track our progress through percentages.

 

 

Values can also be added on a daily level which helps us track resources in real-time. The date range can be selected in the top right corner.

 

 

By filling in all of the values as they happen, we can see the full resource utilization both on Board and Project level.

How to access Resource Management?

The Resource Management section of a project is accessed by switching the view in the top right corner. By clicking on the “Timeline” field a drop-down menu will open.

 

 

Once we’ve clicked on Resource Management, a whole new section will open. Here we can track the utilization of all resources added through subsets. For a better overview, you can also switch between Project, Board and Subset view by clicking on “Project” in the top right corner.

 

How to add a subset in Resource Management?

To be able to add subsets, we first have to add a Pricelist to the project.

Subsets are positions from the Pricelist grouped together to provide Project Managers the best overview of used resources in specific locations. They are created by first clicking on the “Boards” field in the top right corner and then selecting “Create subset” from the dropdown menu.

 

 

Now we’ll be able to select positions from the previously added Pricelist and add them to one or more of the Project’s Boards.

 

 

Once we’re finished with selecting both Boards and Pricelist positions, we create the subset by clicking on the “Create subset” field in the bottom right.

Now we’ll be able to track the utilization of selected resources both jointly for all selected Boards, as well as per each Board in the Subset.

How to add a pricelist to a Project?

A Project pricelist is added in the “Project Pricelist” section in the top right.

 

 

Here, a new section will open where a CVS template can be downloaded.

 

 

After aligning your pricelist with this template, it can then be uploaded to the project by clicking on the “+” icon.

 

 

Once the pricelist is added, it will be listed in this section. To preview it, click once.
